What this application is

The IntuitiveMotion Accounting Connector (“the Connector”) is an internal tool operated by IntuitiveMotion.AI Inc for its own accounting. It connects to a single QuickBooks Online company — our own — and is not offered to, sold to, or usable by any other business. There are no end users other than authorised IntuitiveMotion.AI personnel.

What data the Connector accesses

Using the com.intuit.quickbooks.accounting OAuth scope, the Connector reads accounting records from our QuickBooks Online company: chart of accounts, journal entries, bills, vendors, customers, invoices, payments, and the reports derived from them (trial balance, general ledger, profit and loss, balance sheet, cash flow, and accounts receivable and payable aging).

The Connector does not request the payroll or payments scopes, and therefore does not access payroll records, employee compensation, or cardholder data.

What the Connector stores

The Connector stores OAuth tokens (an access token and a refresh token) and the QuickBooks company identifier, so that a connection persists between sessions. These are held on encrypted storage, are never written to logs, and are never included in application source code.

Accounting records themselves are not retained. Data is fetched from the QuickBooks API on demand, held in memory only for the duration of the request that needed it, and discarded when that request completes. There is no database of QuickBooks records, no cache, and no export.

Who the data is shared with

No one. Accounting data is not sold, rented, or disclosed to any third party. It is not used to train machine-learning models. It is not aggregated into benchmarks or analytics products. It leaves QuickBooks only to reach the authorised IntuitiveMotion.AI operator who requested it.

Retention and deletion

Because no accounting records are retained, there is nothing to delete beyond the stored tokens. Disconnecting the Connector — through the disconnect page, or by revoking access from within QuickBooks — revokes the refresh token with Intuit and deletes the stored tokens and company identifier immediately.

Security

All traffic is served over TLS. Tokens are held as encrypted deployment secrets on the hosting platform, readable only by the running process. Access to the Connector is restricted to authenticated IntuitiveMotion.AI operators. Write operations against the ledger are disabled by configuration; the Connector operates read-only unless an operator deliberately enables writes.

Changes

Material changes to this policy will be published on this page with a revised effective date.
